Set-up/Breakdown Roles
Purpose: To support the smooth operation of the market by assisting with setup before opening and takedown after closing — including helping event organizers to set up barriers, bike racks, vendors to unload, set up tables and tents, and organize shared spaces.
Duties & Responsibilities:
Before Market Opening
Arrive early to help vendors unload their vehicles and transport goods to their booths.
Assist with setting up vendor tents, tables, signs, and display materials as needed.
Help set up market infrastructure: information booth, signage, traffic cones/barriers, trash & recycling stations, etc.
Ensure walkways are clear and the market area is clean and ready for visitors.
Communicate with vendors and market staff to address last-minute needs or changes.
After Market Closing
Help vendors pack up products, take down tents and tables, and load vehicles.
Break down market-owned equipment and return it to storage (e.g., signage, bins, tables, barricades).
Sweep or clean up common areas to leave the space better than we found it.
Check for lost & found items and report anything unusual to market staff.
Take trash to dumpster.
Market Support Roles Market Attendance Tracker Purpose: To help gather accurate data on the number of people attending the farmers market, which supports planning, funding applications, vendor recruitment, and market evaluation. Duties & Responsibilities
Stationed at designated entry or exit points of the market to count visitors as they arrive (or depart).
Use manual clickers, tally sheets, or digital counters to track attendance throughout the market day.
Record hourly attendance figures if needed, to help identify peak hours and visitor trends.
Assist in setting up signage or light barriers (if used) to help channel foot traffic through counting areas.
Communicate with market staff if crowd flow changes or multiple entries need coverage.
Provide general market information to visitors if approached (e.g., where to find specific vendors or restrooms).
Trash & Recycling Assistant Purpose: To help keep the market clean, safe, and environmentally responsible by monitoring trash and recycling stations, managing waste collection, and supporting market sustainability goals. Duties & Responsibilities
Set up clearly labeled trash, recycling, and compost (if available) bins at key locations before the market opens.
Monitor waste stations throughout the market day to ensure proper sorting and prevent overflow.
Help visitors dispose of waste correctly by guiding them on what goes where (e.g., plastic, food scraps, cardboard).
Replace full bin liners as needed and transport filled bags to designated disposal or collection areas.
Pick up stray litter around the market area and keep common spaces clean and inviting.
Break down cardboard boxes and prepare recyclable materials properly for collection.
At the end of the day, ensure all bins are emptied, cleaned up, and returned to storage if required.
Information Booth Ambassador Purpose: To serve as a friendly and informed point of contact for visitors to the West Bench Farmers Market — answering questions, sharing information about the market, and promoting the missions of Global Lounge and Global Gardens, two of the key nonprofit partners behind the event. Duties & Responsibilities
Greet visitors warmly and offer general information about the West Bench Farmers Market (e.g., hours, vendors, restrooms, entertainment).
Share the background and mission of Global Lounge, the Boise-based nonprofit focused on cultural enrichment and community events.
Educate visitors about Global Gardens, a nonprofit supporting refugee and immigrant farmers in Boise through sustainable agriculture.
Distribute flyers, maps, event schedules, or vendor lists (if available).
Answer questions about volunteer opportunities, donations, and upcoming events.
Collect visitor feedback and encourage sign-ups for newsletters or social media.
Keep the booth area tidy, stocked, and welcoming throughout the day.
Support staff with light tasks such as handing out tokens, water, or promotional materials.
Beer & Wine Garden Assistant Purpose: To support the safe, smooth, and welcoming operation of the beer and wine area at the farmers market — helping with customer flow, cleanliness, and basic assistance while ensuring compliance with any guidelines or vendor needs. Duties & Responsibilities
Greet guests entering the designated beer/wine area and ensure they are of legal drinking age (ID checks will typically be handled by the vendor or licensed staff — but you may help direct people to the proper check-in point).
Help monitor capacity and customer flow within the alcohol-designated area, ensuring it doesn't get overcrowded.
Keep the area tidy by checking for and picking up trash, recycling empty cups or containers, and wiping tables if needed.
Answer basic questions about the beer/wine vendor(s), the rules of the area (e.g., where beverages are allowed), or direct visitors to other parts of the market.
Provide water cups or refill stations if available.
Alert staff or security if there are any issues with guest behavior, ID concerns, or safety.
Vendor Sales Reporting Assistant Purpose: To assist market staff in gathering accurate end-of-day sales data from vendors, which helps track the economic health of the market, supports grant funding, and informs future planning. Duties & Responsibilities At the end of each market day, visit each vendor to ask for a brief report of their total sales for the day.
Use a standardized form or digital tool (provided by the market) to record each vendor’s reported sales total confidentially.
Ensure vendors understand the purpose of sales tracking — that it’s used for aggregate data only and individual results are not publicly shared.
Politely and professionally encourage participation, especially with vendors who may forget or feel hesitant.
Return all completed forms to the market coordinator at the end of your shift.
Note any vendor feedback, concerns, or unusual circumstances (e.g., low foot traffic, weather impact).
